Understand the Elements of FunJoin's Issue Reporting and Tracking Feature.

Overview

FunJoin's Issues Feature helps your team document and solve problems fast. It will improve your team's communication and streamline your Incident Reporting Process.

With Issues, you can quickly and accurately document all incidents, challenges, and conflicts that occur. You can effortlessly track the actions taken toward resolution. Once an Issue is dealt with, you can mark it "Resolved."

Creating Issues

You can promptly create an Issue and add all the important details. In addition, you can rapidly attach photos, videos, and files to your Issues. Once you create an Issue, it will be considered "Open."

You can create Issues in the Admin Panel and Employee Mobile App.

You are automatically subscribed to the Issues you create.

Customers and Participants cannot create or view Issues.

Mention Teammates

You can Mention your teammates in Issues. When teammates are Mentioned, they will receive a Notification and they will become Subscribed to the Issue.

Tag Participants

You can tag Participants in Issues. When tagged, the Issues will appear in the Participant's Profile. You have the option to tag multiple Participants in an Issue.

Adding Notes

FunJoin's Issues feature makes tracking the steps your team takes to solve problems easy.

Teammates can add Notes to Issues. In these Notes, they can provide updates, Mention other teammates, or attach photos, videos, and files.

Subscribing to Issues

You can Subscribe to Issues to make sure you are always in the loop. When Subscribed, you will receive Notifications about the Issue. You will be notified when a Note is added, the Issue is Resolved, or the Issue is Reopened.

Resolving Issues

Once you deal with the problem, you can mark the Issue "Resolved." Resolved Issues will display in the Resolved Tab. All teammates Subscribed to the Issue will be notified.

You also have the option to "Reopen" a Resolved Issue. This changes the Issue Status from "Resolved" to "Open."

Issue Types also help you identify patterns or trends of Issues.

Payment

Track declined payments, disputed transactions, and other complications with your Customers' payments.

Payment declined for sunscreen purchase. I think Anthony did not have the correct card information. I gave him the sunscreen anyway so he did not get sunburnt. The total was $17. @Andrea Garza Can you please issue his parents an invoice?

Customer

Keep a record of Customer questions, complaints, and disputes.

Emma Baker’s Mom (Melanie) had questions about our COVID-19 policies. @Scott Young Can you please give her a call to discuss?

Schedule

Report problems with missing Participants, attendance issues, and other scheduling dilemmas.

Chad was a No-Show today and yesterday. @Andrea Garza can you reach out to his parents and see what is going on?


Documents

Monitor problems with Participants' documents, waivers, and permission slips.

Parent signed the incorrect box for Tyler's Transportation Waiver Form. Can you please ask the Parent to please update at drop-off?

Medical

Record details of an injury or an accident. Keep a close watch on medical issues or accommodations for your Participants.

Patrick left his asthma inhaler at the lunch tables. @Janelle Hendricks can you please return it to him and ask him to keep it in his backpack?

Behavior

Keep a record of tantrums, conflicts, disagreements, and other behavioral issues.

Kelly kept using her phone at lunch despite two warnings to put it away. @Scott Young can you have a discussion with her Parent at pick-up?

Miscellaneous

Track problems that do not categorize easily into other Issue Types.

Parks and Recreation just let me know that the pool will be closed for maintenance today and tomorrow. @Janelle Hendricks can you have the Participants do another activity to replace Swim Time?
