Schedule Sets


Schedule Sets allow you to easily structure, categorize, and organize your Sessions and Programs.

A Schedule Set contains the Schedules of your Sessions and Programs.

Schedule Sets always have a set duration, are contained in a specific FUNBOX, and occur at a particular Location.

Schedule Set Basics

Schedule Sets have a set duration. The Schedule Set “begins” on a defined date and "ends" on a defined date.

Schedule Sets occur at a specific Location. A Schedule Set cannot occur at more than one Location.

Schedule Sets are contained in a defined FUNBOX. A Schedule Set cannot be in more than one FUNBOX.

FUNBOX and Location Combinations will have their own Schedule Sets.

Let’s say you offer two FUNBOXES (i.e., Day Camp and Overnight Camp) at the same Location (i.e., Redondo Beach).

The different Schedule Sets will be separated by FUNBOX.


Let's say you offer a FUNBOX (i.e., Day Camp) at two Locations (i.e., Santa Monica and Manhattan Beach).

The different Schedule Sets will be separated by Location.


This makes managing your different Schedules very simple and intuitive, even if you offer different types of services at different Locations.

Schedule Sets can contain only Programs, only Sessions, or both. Sessions and Programs can be combined in a variety of ways in the Schedule Set.

With Schedule Sets, you have the flexibility to create any type of Schedule you can dream of!

A common Schedule Set Duration is one week. (One Week of Camp, One Week of After School Care, etc.)

In this Schedule Set example, there are 5 days. Each day can have its own Schedule.

Detailed Examples:

Summer Camp:

Let's say you offer a Spring Break Day Camp. Customers can purchase the entire week of camp or just a one-day pass.

Schedule Set: Spring Break Camp (March 9-13)

Schedules: March 9th, March 10th, March 11th, March 12th, March 13th

Programs: One Week of Camp

Sessions: One-Day Pass

Child Care:

Let's say you offer Before School and After School Child Care. Customers can purchase an entire week of Before School Care and/or After School Care. Customers can also purchase any session "a la carte".

Schedule Set: Winter Week 8 (February 3-7)

Schedules: February 3 Morning, February 3 Afternoon, February 4 Morning, February 4 Afternoon, February 5 Morning, February 5 Afternoon, February 6 Morning, February 6 Afternoon, February 7 Morning, February 7 Afternoon.

Programs: Week of Morning Care, Week of Afternoon Care

Sessions: Morning Drop-In, Afternoon Drop In

Overnight Camp:

An Overnight Camp operates a little differently. Since an Overnight Camp is one continuous Program, it only has one Schedule.

Schedules Page: On this Page, you will find all your Schedule Sets. Schedule Sets will be separated by Location and FUNBOX.

View Day Page

Each Schedule Set can have one or more Schedules.

Let's consider a week of summer camp. This summer camp can be booked by the week or by the day. The entire week is the Schedule Set, but there may be different attendees coming each day. In addition, every day will need distinct Attendance Tracking. So, within the Schedule Set, there are five Schedules.

Schedules list your attendees, the activities they are enrolled in, and when those activities occur. You can view your Schedules via the View Day Page. This View Day Page can be considered a “Smart” Roster.

For an Overnight Camp, the Schedule Set Page functions as the View Day Page because there is only one Schedule.

  • Schedule for Waterpark Adventure Day

For a Day Camp, the most common Schedule is one day.

For an Overnight Camp, the Schedule Set and Schedule are combined. (No Sessions are available.)

Do’s and Don'ts

Do's

  • Make sure you have an accurate count of the days you are offering your Sessions and Programs.

Don'ts

  • Don’t publish your Schedule Sets before you are absolutely sure they are ready to be booked. Published Schedule Sets can be booked by Customers.

  • Don't forget to remove any days your business will not be operating (like July 4th, Labor Day, etc.) from your Schedule Set.
